Job Summary

Provide professional, confidential, accurate and efficient support services to the President & CEO and supporting staff



Essential Duties and Responsibilities

Produce accurate reports and presentations at a C-Suite level including monthly business reports and quarterly Board of Director presentations

Work proficiently in Microsoft Office 365 including MS Word, MS Excel, MS PowerPoint, MS Outlook, and MS Teams

Ability to work in Adobe to create forms and process signature requests

Calendar management for multiple executives over multiple companies

Coordinate travel for executives including processing / renewing travel documentation

Coordinate payment of company vehicle reserved parking spots

Create, submit, and maintain expense report for company credit card and expense reports for executives

Coordinate high level meetings and events

Assist in companywide employee events

Work with staff on internal communications

Responsible for executive conference room scheduling at multiple locations

Create agendas and take dictation / minutes and accurately. Provide follow up to all action items.

Establish and maintain relationships internally and externally and act as liaison for the President & CEO to internal and external contacts

Establish and maintain a professional working relationship with other groups in the company - Assistants, including the Chief Administrative Officer.

Manage incoming phone calls for President & CEO

Handle mail and office / break supplies for executive staff, including subscriptions

Develop and carry out an efficient documentation and filing system

Review, approve, and assign codes for all new supplier adds into the system

Handle executives' requests and queries appropriately



Education / Experience

Proven experience as an executive administrative assistant or similar position

Excellent knowledge of MS Office

Proficiency in English; Spanish a plus

Exemplary planning and time management skills

High level verbal and written communications skills

Discretion and confidentiality

High School degree
