Job Description:
Job Summary
Reviews, and processes inmate kites that have been directed to the
Chaplain's Office. Documents all action taken on kites to ensure
they are handled in accordance with jail policies and
procedures.
Researches and responds to religious inmate grievances within the
appropriate time frame required per jail policy.
Coordinates the clearance process for external clergy who are not
part of the Chaplain volunteer corps, to ensure appropriate
credentials for Oakland County Sheriff's Office jail clearance.
Assists the Jail Outreach Leader regarding communication with faith
groups, pre-release support for inmates, and special projects.
Assists with Jail and Outreach Ministry (JOM) board meetings.
Assists with the Winter/Spring/Summer clothing needs for
pre-release inmates. Identifies items, quantities, and sizes
needed. Contacts churches and other outreach organizations with the
wish list of clothing items.
Reviews proposed materials and books to be given to inmates,
including offers of free material, to ensure items are following
Oakland County Sheriff's Office Chaplain's Office standards.
Greets, registers, and assists the public in filling out forms,
questionnaires, and applications. Refers clients and forwards
messages to proper parties.
Provides in-depth information about the programs and services
available through the Sheriff's Office Jail Chaplain's Office,
referring as needed to updated reference documents.
Responds to questions by phone and in person from inmates and the
public regarding religious and grievance inquiries. Confers with
Chaplain and command as needed to provide complete response.
Composes and types general letters and memoranda from rough drafts,
forms, or general instructions, involving the assembly of data from
computer and paper file or record sources.
Initiates and completes documents for formal approval, according to
department procedures. Exercises judgement to determine if
requesting individuals are authorized to receive certain types of
information.
Sorts, opens, and distributes in-coming mail and departmental
materials.
Receives and inventories equipment and supplies, updating inventory
tracking databases, and producing identification tags as required.
Delivers equipment to the appropriate party as required.
Schedules appointments or interviews by consulting a computer
system or paper list, time schedule, or other record, or by
contacting the appropriate parties.
Reviews and keeps an updated copy of reference listings of
personnel and services available for referral.
Addresses various forms, envelopes, packages, etc., using a
personal computer and printer.
Files various reports, documents, correspondence, etc., following
standardized office procedures.
Operates various office machines such as fax, computer printers,
and duplicating equipment.
Utilizes current Countywide and/or department specific software to
complete assignments.
Minimum Qualifications
1. Be a high school graduate OR have a certificate of successful
completion of the General Educational Development (GED) Test.
2. Have had at least two (2) years of full-time clerical work
experience.
Special Requirements
1. Must submit to immunizations as required, as well as to
tuberculin skin tests or chest X-rays at County expense.
2. A background investigation will be conducted covering an
evaluation of employment, school, home, criminal, military, or
other personal records. Any conviction or convictions for moving
traffic violations, accidents, non-moving traffic violations, or
violations of other laws will be reviewed by the Sheriff Office
before an applicant can be appointed. Information obtained during
the background investigation will be considered in the hiring
decision. Convictions of the Domestic Violence Statute will be a
disqualifying factor.
