Duties

WHAT IS THE CRIMINAL INVESTIGATION DIVISION?

Vacancies will be filled in the following specialty areas: Criminal Investigation, Various Field Offices

The following are the duties of this position at the full working level. If this vacancy includes more than one grade and you are selected at a lower grade level, you will have the opportunity to learn to perform these duties and receive training to help you grow in this position.

* Provides receptionist services for the SAC's office. Receives telephone calls and visitors, screening those which can be handled without the supervisor's help. Answers substantive questions not requiring technical knowledge.
* Maintains office files, including those containing confidential employee relations materials. Locates and summarizes information from files and documents, recognizing which information is or is not relevant to the problem at hand.
* As confidential assistant, establishes and maintains the SAC's personal file of correspondence and documents concerning personnel actions for subordinates, including grievances and disciplinary actions, and other sensitive material.
* Receives and reads incoming correspondence and reports. Screens those items which can be handled personally and drafts replies to general inquiries not requiring a technical knowledge of the program. Forwards the rest to the supervisor or the staff. Maintains control records on incoming correspondence and action documents and notifies staff member when due date is near to ensure timely reply.
* Reads outgoing correspondence for accuracy of grammar, spelling, punctuation, and format, conformance with procedures and general policy, factual correctness, and adequacy of treatment. Calls the writer's attention to any conflict reflected in the file or any departure from policies and attempts to resolve conflict before matter is presented to supervisor.
* Helps supervisor's subordinates to implement supervisor's instructions concerning procedures. Explains reporting requirements and arranges with subordinate officials for the collection and submission of data. Assembles data into general reports of the total work of the office. Prepares a wide variety of recurring internal reports and documents from information obtained from the staff, files, and other sources.

* Tour of Duty: Day Shift-Start and stop times between 6:00am and 6:00pm.

* This position is a temporary appointment NTE 1 Year, may be extended up to 5 years or may be made permanent without further competition.

Qualifications

You must meet the following requirements by the closing date of this announcement:

SPECIALIZED EXPERIENCE FOR GS-07:

You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-06 grade level in the Federal service. Specialized experience for this position includes: Screening and answering outline telephone calls and visitors to the office and determining which require personal attention; Preparing a variety of correspondence, reports, forms, requisitions, requests for personnel actions and legal documents; Establishing, organizing, and maintaining files of correspondence, manuals, and other related information; Reviewing correspondence, documentation, and reports for proper format, grammar, punctuation, and mathematical correctness; Gathering and assembling necessary supporting documentation from a wide variety of resources and extracting information from computer systems to prepare for reports; Providing advice, assistance and training to clerical support positions; Scheduling appointments, conferences, and/or travel, and assembling background material and preparing notes regarding topics to be discussed. Additionally, applicants must have a working knowledge of automation equipment with multiple software capabilities in order to create, manipulate, compute, report, retrieve, print and transmit data.

SPECIALIZED EXPERIENCE FOR GS-08:

You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-07 grade level in the Federal service. Specialized experience for this position includes: Screening calls and visitors to the office, referring to staff members and forwarding to the supervisor only those calls or visitors requiring that person's attention; Scheduling appointments and making commitments for the supervisor to attend meetings, luncheons, etc., without prior approval; Arranging travel and also conferences, and when required, recording and transcribing minutes; Reading all incoming correspondence, determining proper action, at times preparing answers before referring to the supervisor; Writing simple or complex non-technical correspondence; Reviewing outgoing correspondence, reports and other documents prepared by professional employees in the organization, ensuring proper format, mathematical correctness, correct grammatical content, and ascertaining that all necessary coordination of facts has been completed and is in accordance with established policy; Briefing supervisor on important and office related facts, issues, and reports; Providing administrative support services; Instructing and assisting other secretaries on procedural matters such as the correct procedures to follow in preparing correspondence; and preparing correspondence for the supervisor's signature; Retrieving, gathering, and generating data, as well as using various word processing, spreadsheet, slides, and statistical data computer software applications in order to create, manipulate, compute, report, retrieve, print and transmit.

MEET TIME IN GRADE (TIG) REQUIREMENT: You must meet applicable TIG requirements to be considered eligible. To meet TIG for positions above the GS-05 grade level, you must have served at least one year (52 weeks) at the next lower grade (or equivalent) in the normal line of progression for the position you are applying to. Advancement to positions up to GS-05 is permitted if the position to be filled is no more than two grades above the lowest grade held within the preceding 52 weeks.

AND

TIME AFTER COMPETITIVE APPOINTMENT: By the closing date (or if this is an open continuous announcement, by the cut-off date) specified in this job announcement, current civilian employees must have completed at least 90 days of federal civilian service since their latest non-temporary appointment from a competitive referral certificate, known as time after competitive appointment. For this requirement, a competitive appointment is one where you applied to and were appointed from an announcement open to "All US Citizens".

AND

You must meet the following requirements: Applicants must be a qualified typist with a minimum typing speed of 40 words per minute (based on a 5-minute sample with three or fewer errors). Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for three years. We may verify proficiency skills of self-certified applicants by administering the appropriate performance test.

Federal experience is not required. The experience may have been gained in the public sector, private sector or Volunteer Service. One year of experience refers to full-time work; part-timework is considered on a prorated basis.
